Damage & loss write-off

Use Damage / Loss Write-off to take damaged, expired, stolen, or otherwise unsellable stock out of inventory, with the loss posted to the books automatically.

Before you start

  • Open from Products & StockStock Tools ▾Damage / Loss Write-off
  • Know which product(s) and quantities you're writing off, and why

Steps

1. Open Damage & Loss Write-off

  1. Go to Stock Tools ▾Damage / Loss Write-off.
  2. Confirm the screen title Damage & Loss Write-off.

2. Add products to write off

  1. Under Write Off Stock, search for a product (type to search) — matches show each product's current stock (On hand: X). Click Select.
  2. Check Currently in stock for the selected product.
  3. Set Quantity, Reason (Damaged, Expired, Theft, Breakage, Obsolete, Quality Defect, Other), and optional Notes.
  4. Click Add to List. The line appears under Queued for write-off.
  5. Repeat for as many products as you need to write off in one go — you don't have to record them one at a time.
  6. Remove a queued line with its Remove button if you added it by mistake.

You can't queue more than what's actually in stock — if you try, you'll be told exactly how much is available, accounting for quantities already queued for the same product in this batch.

3. Record the write-off(s)

  1. Once your list looks right, click Record Write-off(s).
  2. Each line reduces stock and posts a loss to the Inventory Adjustment Expense account.
  3. The list clears and Write-off History on the right refreshes.

4. Replenish what was lost

  1. Find the write-off in Write-off History.
  2. Click Replenish.
  3. Glory Desk checks whether the product is manufactured (has a Bill of Materials) or purchased:
    • Manufactured → creates a draft Manufacturing Order sized to the lost quantity.
    • Purchased → creates a draft Purchase Order against the product's preferred supplier (set one under Reorder Rules if you're told none exists), sized to the lost quantity.
  4. Both are left as drafts — nothing ships or commits automatically. Go confirm them from Manufacturing or Orders to Suppliers / Ask Supplier for Price.

5. Find write-offs later in Product History

Open a product's History (Products & stock) — write-off movements show under the category Damage / Write-off, kept separate from ordinary manual stock adjustments.

What success looks like

  • Queued lines never exceed what's in stock
  • Write-off History shows the new entry with the right product, quantity, and cost
  • Replenish creates a draft PO or MO you can find and confirm
  • Product History clearly labels the movement as Damage / Write-off, not a generic adjustment

If something goes wrong
