Staff records

Staff keeps one record per employee — name, position, department, branch, employment type, pay details, and emergency contact. It's separate from Team Users: a Staff record exists for everyone who works for you, whether or not they ever sign in to Glory Desk. A cashier who also logs in can be linked to their user account; a driver or cleaner who never opens the app still gets a record.

This is the foundation for attendance, leave, and payroll, which build on top of the staff list.

Before you start

  • You are logged in as Admin or Manager (Staff Management)
  • Your license tier is Medium or above — Basic does not include Staff
  • Know each employee's branch/location, if you use multiple locations

Steps

1. Open Staff

  1. In the sidebar, click Staff.
  2. Review the grid: Name, Position, Department, Phone, Status.

2. Add an employee

  1. Click + Add Employee.
  2. Enter Full name, National ID, Phone, Email.
  3. Enter Position (e.g. Cashier) and Department (e.g. Sales).
  4. Choose the Branch / Location they work from.
  5. Choose Employment Type (Full-time, Part-time, Contract) and Pay Frequency (Monthly, Weekly, Daily).
  6. Enter Base salary, Bank name, and Bank account number if you plan to use payroll later.
  7. Enter an Emergency contact name and phone.
  8. Click Save.

3. Edit, deactivate, or reactivate an employee

  1. Click Edit on a row to update any field, including Status (Active, OnLeave, Terminated).
  2. Click Deactivate to remove someone from the active staff list without deleting their history — this sets Status to Terminated.
  3. Confirm in the dialog.
  4. To bring someone back later, tick Show terminated above the list, click Edit on their row, change Status back to Active (or OnLeave), and Save. They reappear in the active list immediately.

What success looks like

  • Everyone currently working for you has a Staff record
  • Each employee is linked to the right branch
  • Status reflects reality (Active / OnLeave / Terminated)
