Expiry & batches

Track dated stock with lots, then monitor Expiry & Batch Quality (nav label Expiring Stock).

Before you start

  • Module Expiry & Batch Tracking enabled in SettingsModules
  • Products use tracking lots (not only by quantity) — set under product General InformationTracking
  • When receiving or adjusting stock, enter Lot / Batch Number and Expiry Date

Steps

1. Capture batch data when stock arrives

When adding stock or receiving a PO for a lot-tracked product:

  1. Enter Lot / Batch Number (Required for lot-tracked products).
  2. Enter Expiry Date.
  3. On PO receive, also use Lot # / Expiry (and serials if needed).
  4. Confirm receive / save.

2. Open Expiry & Batch Quality

  1. Open Expiry & Batch Quality (also called Expiring Stock in language keys).
  2. Click Refresh.
  3. Read Status Overview: Expired, Expiring (next 30d), Healthy.

3. Review alerts

Grid columns typically include:

Alert · Product · Batch · Expiry · Days · Qty Remaining · Cost Value · Recall

Empty: No expiring/expired batches found.

Dashboard briefing may also say items are expiring in less than 3 days or within a week.

4. Recall a batch

  1. Enter Recall Reason (Used when recalling a batch).
  2. On the row, click Recall.
  3. Confirm the batch is no longer sellable as healthy stock.

5. Generate a waste report

  1. Set Waste From and Waste To.
  2. Click Generate Waste Report.
  3. Review Total waste cost (or No waste records in the selected period.).

What success looks like

  • Lot and expiry saved on receive/adjust
  • Expiring items appear in the traffic-light overview
  • Recall removes or flags bad batches
  • Waste report totals look sensible
