Stock counts

Stock Counts (screen title Cycle Counts) compare physical counts to system stock and post variances.

Before you start

  • Open from Products & StockStock Tools ▾Stock Counts
  • Know which Location you are counting (see Locations & transfers)
  • Prefer counting when the shop is quiet so numbers stay stable

Steps

1. Open Cycle Counts

  1. Go to Stock Tools ▾Stock Counts.
  2. Confirm title Cycle Counts and subtitle about physical inventory and variance posting.
  3. Choose Location: in the toolbar.

2. Start a draft count

  1. Click New Draft Count.
  2. Select the new count on the left (columns Count #, Location, Status, Variance).
  3. Status should be Draft so lines stay editable.

3. Add products and enter counted quantities

  1. On the right under Count Lines, click Add Product for each item (or as needed).
  2. For each line, compare System vs enter Counted (watch Variance).
  3. Click Save Counts.

On-screen hint: Workflow: edit Counted → Save Counts → Post Variances.

4. Post variances

  1. When counts are correct, click Post Variances.
  2. System stock and journals update for the variances.
  3. Click Refresh to reload the list.

What success looks like

  • Draft count saved with counted quantities
  • After Post Variances, product stock matches the physical count
  • Count status is no longer an open draft you should edit
